Letter Brew ("Letter Brew," "we," "us," or "our") matches people for real, hand-written pen pal correspondence. Getting to know you well enough to make a good match means asking for some personal information, so this policy explains exactly what we collect, how we use it, and the choices you have.
1. Information We Collect
- Account information: your name and email address when you sign up.
- Profile and quiz answers: the details you share in our onboarding quiz — things like your interests, personality, communication style, birthday (used only to confirm you're 18 or older), and what kind of friendship you're hoping to build.
- Correspondence details: your email address, which we use to connect you with your match (users can choose to exchange physical mailing addresses or other details directly with each other at their own discretion).
- Payment information: if you purchase a plan, payment is processed by our payment provider — we do not store your full card details ourselves.
- Usage data: basic technical information (like browser type and pages visited) that helps us keep the site running and improve it.
2. How We Use Your Information
We use your information to:
- Make thoughtful matches — every match is reviewed by a real person on our matching team, not an algorithm alone.
- Create and maintain your account and communicate with you about your matches.
- Process payments and manage subscriptions.
- Improve and troubleshoot Letter Brew.
- Comply with legal obligations and enforce our Terms of Service.
3. How We Share Your Information
We do not sell your personal data to third parties. Ever.
We only share your information in these limited cases:
- With your match: once you're matched, we share the limited details needed to actually correspond — for example, a first name and the email you provided — and only with that specific match.
- Service providers: vendors who help us operate Letter Brew (such as hosting, email delivery, payment processing, and product analytics) may handle data on our behalf, under confidentiality obligations, and solely to provide their service to us.
- Legal reasons: if required by law, or to protect the rights, safety, or property of Letter Brew, our users, or the public.
4. Data Retention
We keep your information for as long as your account is active, or as needed to provide the service and comply with our legal obligations. You can ask us to delete your data at any time — see "Your Rights" below.
5. Data Security
We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is 100% secure, but we work to keep your data protected.
6. Your Rights & Choices
Depending on where you live, you may have rights under laws like the GDPR (Europe) or CCPA (California) to access, correct, export, or delete your personal information. To update anything you shared with us — including anything from the original quiz that isn't editable directly in your dashboard — or to request deletion of your data, email us at letterbrew@gmail.com and we'll take care of it.
7. Children's Privacy
Letter Brew is only for adults. You must be 18 or older to create an account, and we do not knowingly collect information from anyone under 18.
8. Cookies & Analytics
We use a small number of cookies and similar technologies to keep you signed in and understand how our site is used. We don't use them to sell your data.
We use PostHog, a product analytics provider, to see general usage patterns like which pages are visited and which buttons are clicked, so we can find and fix places where the experience isn't working. On our plan selection screen specifically, we may also record a replay of your on-screen activity (mouse movement, clicks, and scrolling) to understand where people get stuck choosing a plan — anything you type is never captured as part of this. We don't use this data to sell to third parties, and it's used solely to improve Letter Brew.
9. International Users
Letter Brew may process and store your information in countries other than the one you live in. Wherever your data is processed, we apply the same protections described in this policy.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we'll post the updated policy here with a new effective date.
